How to collect your wedding guests' photos with a QR code
The photographer is not at every table. Friends are. A QR photo album collects those guest photos with a QR code, with no app and no account. This is how to gather wedding guest photos: where to leave the cards, what to say, how to handle privacy and how to download the album afterwards.
Why a QR code keeps the day tidier than a chat
On WhatsApp, photos arrive compressed and mixed with messages. Drive asks for an account. With MyEventQR a guest scans and uploads, with no sign-up. You see the full gallery in the dashboard. Live Wall is optional.
Where to put the QR cards
Design the card in the dashboard: a large code, with space around it and a light background. A tiny QR in the menu scans badly. People should be able to scan it while seated.
- One standing card on each table, next to the table number. That is where people sit with a phone in their hand.
- Another on the welcome table or by the seating plan, for anyone who arrives before they sit down.
- If you have a photo corner, a signing table or a sweet table, leave a copy there. People are already looking at their phones.
- Give one to the host or the DJ in case you want it mentioned once, after dinner, not in the middle of the speeches.
If you turn on the 4-digit PIN, write it on the same card, large and readable. Without that PIN, someone who only has the link cannot upload when the event is protected. You do not need one card per person: one per table, plus one at the entrance, is usually enough.
What to tell guests
One sentence is enough: “Scan the QR on the table and upload the photos you want to share. There is no app and no sign-up.” You can add that they go to the couple’s album and that, if there is a screen, one of them may be shown. Ask people not to upload a photo of anyone who asked to stay out of it.
Keep the rehearsal separate from the wedding day. Demo Mode lasts 72 hours, allows up to 20 photos and 100 MB, and photos only. Two full downloads, one file at a time, and the trial does not become an Event Plan or a Pro Plan. On the paid plans the same QR also takes videos, voice messages and guestbook notes; the demo allows up to 5 dedications. Photos can be JPG, PNG or HEIC, up to 10 MB on the demo, 25 MB on the Event Plan and 30 MB on the Pro Plan. The browser stores a reduced JPEG. Live Wall shows a still smaller preview.
Privacy and consent
You decide to collect the memories and you are responsible for that processing. MyEventQR stores them to provide the service: it is the processor. Before uploading, the guest sees a short notice: content is kept while the event is active and for 14 days after it expires, and is then deleted. The notice links to the privacy policy.
Only you see the full gallery. If you turn Live Wall on, anyone with the spectator link sees what is projected. The 4-digit PIN is optional; if you save one, it is required to watch and to upload. Turn it on if the link will leave the guest list. You can hide a photo from the screen without deleting it: it stays in the album and leaves an open screen within seconds. The MyEventQR team does not open the photos.
How long photos stay and how to download them
The period starts when you create the event: 72 hours on the demo, 90 days on the Event Plan and 365 days from payment on the Pro Plan. On Pro, events end when the plan ends. Storage and prices are on the pricing page. During the open beta, payments are not active. The trial, with no card, does not become the wedding album.
After expiry there are 14 days to download before deletion. Event Plan: two full downloads; extra €0.15/GB (min. €3). Pro repeats share 1 TB a year; then the same. The first copy of each file is always free. On the demo, two full downloads, one file at a time. After that window the files are deleted.
WhatsApp and Google Drive, in practice
WhatsApp compresses photos and mixes them with the chat. Drive leaves out anyone who does not want another account. The QR does not replace the photographer: it gathers what guests want to share, and you decide what appears on the screen. The download comes from the dashboard.
Questions
Do guests have to sign up?
No. They scan the QR or open the link and upload without an account. If you turn the PIN on, it is 4 digits and it belongs on the card.
Can I use the trial event on the wedding day?
It is for rehearsing the QR and the screen. It lasts 72 hours, allows up to 20 photos and cannot be extended or turned into an Event Plan or a Pro Plan. For the wedding day, check the periods on the pricing page.
Do photos appear on the projector by themselves?
Only if you turn Live Wall on. It shows photos, not videos, in a reduced version. You choose which ones are projected: Hide from Live Wall takes a photo off the screen and leaves it in the gallery.
Who can see the album?
The full gallery is for the organizer. The screen is for anyone with the spectator link and, if there is a PIN, anyone who knows it.
